Things you need to know before booking us.

Welcome to Backpack Adventure! These Terms and Conditions outline the rules and regulations for participation in our activities, both on-site at schools, workplaces, and off-site in forest settings. Backpack Adventure offers hands-on team-building activities and forest school sessions for children and adults. By engaging with Backpack Adventure, participants, schools, businesses, and their representatives agree to these terms.

Please read these Terms and Conditions carefully to ensure a safe, enjoyable, and effective experience for all involved.

1. Definitions

  • “Backpack Adventure”: Refers to the company and facilitators providing services, including but not limited to team-building activities, workplace events, and forest school sessions.
  • “School”: Refers to the educational institution that books Backpack Adventure activities for children.
  • “Business”: Refers to any organization or workplace engaging Backpack Adventure for team-building sessions.
  • “Participants”: Refers to children, young people, or adults taking part in the activities.
  • “Staff”: Refers to school employees or workplace managers responsible for the participants during activities.

2. General Conditions

  • All bookings are subject to availability and must be confirmed in advance.
  • Activities may require a minimum number of participants, as specified at the time of booking.
  • It is the responsibility of participants to wear suitable clothing and footwear, especially for outdoor activities.

3. School and Workplace Staff Presence

  • Schools: A member of school staff must be present at all times when Backpack Adventure facilitators are delivering activities on school premises or during off-site forest sessions.
  • Workplaces: For team-building activities at workplaces, a manager or designated staff member must be available on-site to assist with supervision and emergencies.

4. Medical and Health Responsibilities

  • Medical Care for Children:
    • Backpack Adventure staff are not responsible for administering medication or medical care for children, including but not limited to inhalers, insulin, EpiPens, or first aid.
    • It is the responsibility of the school staff to ensure participants with specific medical needs (such as asthma, diabetes, allergies, or injuries) are properly managed during the session.
  • Medical Care for Adults:
    • Participants in workplace team-building activities are responsible for managing their own health needs (e.g., carrying personal medication such as inhalers or EpiPens).
    • Any medical emergencies will be referred to the appropriate emergency services if necessary. Backpack Adventure facilitators will assist within the limits of their first-aid training but are not responsible for ongoing medical care.
  • Disclosure of Health Conditions: Schools and businesses are responsible for disclosing any relevant medical needs or conditions of participants before the session begins to allow for appropriate adjustments.

5. Safety and Risk Management

  • Safety is a top priority. All activities are risk-assessed, and facilitators are trained in basic first aid and outdoor safety procedures. However, some activities may carry inherent risks.
  • It is the responsibility of the school or business to ensure participants are informed about the nature of activities and any associated risks.
  • Participants must follow all instructions given by Backpack Adventure facilitators and accompanying staff members.
  • In case of extreme weather or unsafe conditions, Backpack Adventure reserves the right to modify or cancel activities.

6. Liability

  • Backpack Adventure holds appropriate public liability insurance to cover activities under our supervision.
  • While we take every reasonable precaution to ensure safety, we are not liable for:
    • Injuries or accidents caused by participant actions that disregard instructions or safety guidelines.
    • Injuries or incidents resulting from medical conditions or pre-existing injuries that are not disclosed prior to the activity.
    • Failure of school or workplace staff to provide necessary supervision or manage medical conditions appropriately.

7. Cancellations and Refund Policy

  • Cancellations made more than [insert notice period] days in advance will receive a full refund.
  • Cancellations made within [insert notice period] days may incur a cancellation fee.
  • If Backpack Adventure needs to cancel a session due to unforeseen circumstances (e.g., severe weather), the client will be offered an alternative date or a full refund.

8. Photography and Media

  • Backpack Adventure may take photographs or videos during activities for promotional purposes.
  • If the school, business, or any participant objects to their image being used, notice must be provided in writing before the session begins.

9. Behavioral Expectations

  • All participants (children and adults) are expected to behave respectfully toward facilitators, staff, and fellow participants.
  • Disruptive or unsafe behaviour may result in a participant being removed from the activity at the discretion of the school staff, workplace managers, or Backpack Adventure facilitators.
  • Schools and businesses are responsible for any damages caused to equipment or facilities by participants during activities.

10. Team-Building Activities for Adults

  • Team-building activities at workplaces are designed to foster collaboration and problem-solving.
  • Participants must follow safety guidelines and instructions from facilitators to ensure a positive and safe experience.
  • Alcohol consumption is not permitted during activities, and participants are expected to behave professionally throughout.

11. Force Majeure

  • Backpack Adventure is not liable for delays, cancellations, or disruptions caused by events beyond our control, including but not limited to extreme weather, transportation issues, strikes, or illness.

12. Governing Law

These Terms and Conditions are governed by the laws of the United Kingdom of England, Scotland and Wales. Any disputes will be subject to the jurisdiction of the courts of the United Kingdom of England, Scotland and Wales.

13. Acceptance of Terms

By booking or participating in Backpack Adventure activities, the school, business, or individual participants acknowledge that they have read, understood, and agreed to these Terms and Conditions.
